Description/Job Summary

This individual reports directly to the Office Manager of Lackawanna County. This individual will be responsible for all aspects of their specific job description and responsibilities.
 
Scheduled work time is 9:00 AM to 5:00 PM but must be flexible based on the needs of the office. This shall be a salaried position in compliance with State/Federal wage regulations.

Child Line, PA State Police, and FBI background checks required prior to beginning employment; VIRTUS training (employer provided) is also required.

Responsibilities/Duties

  • It is the responsibility of the clerical/fiscal staff to work as a team to ensure an overall effective functioning office. In the absence of any one, the support staff should work together to provide coverage to front desk. This includes lunch and breaks.
  • Open and close building at appropriate times. Unlock all file cabinets
  • Greet incoming clients and check previous records. Direct to the appropriate worker.
  • Answer the telephone, take messages, transfer calls to the appropriate worker.
  • Enter all information (pertaining to clients) on computer as required for informational and statistical purposes.
  • Assign a record number to new cases which have been put in the computer by the case worker.
  • Provide receipts for clients who make payment at the front desk. Log all receipts in the income Ledger and on the computer.
  • Date stamp and route incoming mail, stamp outgoing mail.
  • Maintain a filing system for all case records, correspondence, etc. and provide any other clerical functions as required.
  • Record Anger Management information on appropriate case file in computer, attendance, no shows and fee paid.
  • Real Alternatives-Keep a register and file copies of Scranton and Carbondale forms.
  • Prepare payments requests for any bills or payable items, secure proper signatures for approval and forward to fiscal office in Wilkes Barre for payment.
  • Record and deposit all monies coming into the agency on a regular basis.
  • Maintain ledger sheets for any client fees, credit to respective programs and forward to Wilkes Barre office with breakdown.
  • Responsible for submitting timesheets for employees to payroll and the fiscal department.
  • Enter all information specifically pertaining to job duties into computer as required.
  • Perform any clerical/fiscal or special project assignment requested by Administration that may require this individual’s assistance or expertise.

Required Qualifications

The minimum experience and training may be a high school diploma or G.E.D with preferred major in business and experience in clerical and/or fiscal employment. The individual should have a working knowledge of a computer screen interface and possess skills using the computer.
 
The individual must be of good moral character, dependable, and reliable. The individual must possess a current/valid Pennsylvania driver’s license and must have access to an insured automobile while on duty. 
 
The individual must consent to the Pennsylvania Child Abuse History Clearance, A Pennsylvania State Police Criminal History Clearance, A FBI Fingerprinting Clearance, and must be a mandated reporter of all suspected child abuse situations within the Commonwealth of Pennsylvania.  Individual must provide complete details of any conviction records they may possess. Individual must consent to random drug and alcohol testing.
 
The individual will attend VIRTUS training in accordance with Diocese of Scranton policies.
